Okay folks, so the idea of getting a bunch of us UVers together in one place for a great big convention, if you will, has been kicked around chat for nearly a year now. Now, of course, such a massive undertaking of getting, oh... a half dozen or more people (yes, I know I said great big... shaddup) together at one point in the spacetime continuum will require some planning beyond what the fickle flows of chat will allow. So, as the idea of a UVCon goes from being a mere idea into being a solid, workable concept, we're gonna need to begin recording the facts and ideas down here. It may be a drag, but, well... something like this just doesn't happen spontaneously. So, without further adieu, let the planning BEGIN!

First of all... what we need is a list of people who are willing to say that they will at least make a decent effort to come. Please note that if you say you will, then I do expect that you will. Or, I will bother you incessantly until I drive you insane. Saying that you'll attend the con here, and then putting off any real planning and work on your part until a month before it actually happens will only cause stress and annoyance for all those involved (particularly for myself, but that's my own problem, so... yeah)

Secondly, and this can begin to be established as people start signing up on the "will make the effort to" list, is the when and where for the con. Now, as discussed in chat, we've got a few baselines established for this when and where. It has to be sometime in summer, most likely July or August to maximize attendance. Furthermore, it must be in the United States of America. The number of non-Americans who could attend the convention is rather small compared to the number of Americans, and, to the best of my knowledge, all non-Americans have a passport, while less than half of the Americans who've indicated interest have one. Ergo, to maximize attendance once again, this event must take place in the USofA. Additionally, to make this fair for everybody, I would recommend that you don't put up your own hometown as the location to hold the con. Unless you're willing to put a half dozen people up for a few nights, in which case I have only one thing to say "Do you drive?" ;)

So now with this in mind, let the discussion begin. I'd like to hear any and all suggestions for locations and time, so that we can make a decision on this that fits as many people's schedule and budget as possible. Once we've settled on when and where, we can begin talking accommodation, itinerary, and transit, so the sooner we get this established, the sooner people can begin booking flights, trains, and days off!

For reference, I'll be making a list here of UVers who've indicated their interest in attending the Con, as well as their locations (however broad they wish it to be) so that educated decisions can be made regarding the ultimate location of the Con. This list will be kept as up to date as possible, so check back whenever you nececary.
*Note: this location should be where you expect to be during the summer, not wherever you are now, seeing as how most of us here are students*

Eh, no clue if it'll work out, but put me down. I'll be trying, and, at minimum, will have some money saved. Possibly not enough, but time will tell.

right, so... we're starting to get people interested here, which is fantastic, buuuuuuuuuuuuut, ya know, we could also use suggestions for time and places, people ;)

I believe the Chicago area was thrown around as a possible location for a while. My area's not much good unless you all feel like camping out on my lawn in tents.

..which would actually be probably doable, if I managed to borrow a few more tents from someone..

..and Ren Fest is right next door on weekends starting August 22. Hm..

Aye, Chicago is... I think the only city I've heard suggested in Chat. :p I might prefer something slightly further south for entirely selfish reasons. But Chicago should work fine for me, and I have no other suggestions in mind. Anybody else?

Also, you make a good point with Ren Fest, dd. That would be a lot of fun to do, but late August might be cutting things close for people with classes next Fall. For instance, based on last semester, I would be crossing my name off of the attendees' list. That shouldn't make things a no-go, though: if enough other people can make it who otherwise might not, it really does sound like an awesome place to go as a group. :p Those who can't make it could just start saving for UVCon 2. ... Electric Boogaloo...

Whenever and wherever, it would be a good idea to have something in mind to do. Just hanging out with you guys would be cool, and I wouldn't mind chunks of time with just that, but some activity to do together would help keep things interesting. Juno made a good suggestion: centering it around a... more established convention, like Gen Con Indy (Indianapolis, Indiana; August 5-8).

Anybody else have other possible summertime Cons, or other things to do?

I make no promises, it would depend on my ability to get a job and save up some money and vacation time. Although if people really wanted to tent on DD's lawn, we've got a tent or 3 in the garage (I think, might have been pitched because of holes and stuff) and a pop-up camper.

Let's try to get some discussion restarted here, shall we?

I think camping out in dd's back yard makes an excellent fallback plan... cheep, relatively easy to set up, and as she said, RenFest is just a few minutes away if we time it near the end of August (she and I walked all the way in about 15 minutes, and I've got a cane, so I'm exactly a speedy walker). However, as great as the idea seems, I agree that setting somewhere where there's a bit more to do over 3 or so days than one day renfest and two hanging out would prolly be better... also, easier to convince some of those for whom the idea of seeing their fellow UVers isn't enough to get them to commit. So, GenCon Indy... which is relatively central is a decent idea, albeit mostly focused on the D&D players among us (of which, I think only Gaius, forge and myself have committed to the con)

However, any other suggestions would be extremely helpful. Do some research, poke around, browse the Interwebs, et al. I'm available most night in chat if you'd like to run some ideas by me first, and I'm looking forward to hearing anything from anybody interested.

Also, as an addition, there is a 90% that this con will play host to a Super Smash Bros tournament. If that helps persuade anyone, at all :wink

Fine, I'll go ahead and commit, as long as I can get some money of my own and secure the time off. Rockport, Indiana, here.

GenCon Indy sounds like the plan I'd go with. While I'd be worried about selling the idea to my folks of running off to some faraway city to see a bunch of people I only know over the internet, I'm pretty sure an established convention would be an easier sell. Not to mention the self-interested factor of the distance...

Backwoods in Michigan sounds like a lot of fun though hahaha. Too bad you all didn't decide on Tulsa Oklahoma. Lots of hoooorsies. :laugh Then I definitely could go. But it would be a good idea to decide the place on where the majority of you guys live. Good luck you all!

Well, Empyrean, the highest concentration of UVers who are/would be interested in this live in Michigan or a state/province which borders the Great Lakes State, so... wanna hold it close to there. Also, I don't think transport into Detroit is all that hard (for most people), and Indianapolis shouldn't be all that much harder, aside from having to coordinate our planning more closely.

Well, so far if everything goes my way (IE: improves by even the slightest), I will deffently be able to make it. But of course, this is still several months in the making, and I think this thread should be made into a temporary sticky so that it will be easy to find. Hence, with time, anything and everything can/will happen. So, some of us that said they will go might not be able to go, and those that said they couldn't go, might actually be able to go. So, with time...eh....I think I started to repeat myself... O_o;

Sounds great, I'm tempted to join in. Problem is I'm already saving for a rather expensive US trip for next Christmas and I'm not sure I have the resources to go twice in one year >.<

Well, I'd like to have everything date and time locked by the end of March here, so that gives us one more month to decide on the general before we each start budgeting for things like food, lodging, and transportation. By and large, everyone will be on their own for transpiration and food while en route, but we'll have to see if we can't get some kind of group deal on lodging or summat, and how that affects the final costs.

Anyhow, if nobody else shouts out an extremely good option between now and March 31st, it will likely be GenCon Indy we're off to. Also, likely easier to convince some people's folks to let them travel out to convention (particularly one of the oldest in North America, and the iconic one for Dungeons and Dragons) than to let them travel around to random unknowns houses (at least if your online handle isn't ddpej or The_Vizir). So, suppose that might be a potential boost to attendance.

Also, if we are going to GenCon, might want to think about some activities you want to partake in while there. I'm pretty certain there will be a UV SSB:B tournament (which shall be borderline nightmare inducing to me thanks to Gaius), and likely some D&D stuff (including me possibly protesting outside of the WotC booth depending on their announcements this year), but other than that, open to any and all suggestions, particularly from the two folks here who have family and/or live in Indiana ;)
